Promoter's Help

This guide is designed to show you how to:

  • Set up a promoter account
  • Add your location to the tilllate.com database
  • Add your own events
  • Set up guest lists and prize draws for your events
  • Request photo coverage of your events
  • Contact Country Management

Set up a promoter account

To set up your account, simply go to the tilllate.com homepage. From there click on "join now"
This will take you to the registration page.

In order to open a new promoter account the second part of the site "I'd like to register at tilllate.com" has to be used.

Enter your e-mail, choose a strong password and enter the validation code in the field before clicking on "next".

Please fill in all fields as comprehensively as possible .

Important: Tick the box "Add an organisation" in order to open a promoter's account

The next step is about the organisation.

As well as personal preferences, you are able to enter your

  • Organisation description
  • Logo
  • Website address

This is the last step of the registration. You will then receive an email confirming your details.
Click on the activation link or enter the code in the field and you are ready to go!

You can now log in to tilllate.com with your promoter account to add events etc.

After login the following message appears. Click on "Promoters" in the navigation.

Go to "Promoter's Area" to administrate your organisation details, events and location.

Add your location to the tilllate.com database

Is the venue where your party takes place not in our locations list? you can easily add the venue to our database by clicking on "add location". Fill in the full details on the venue.

The next time you list an event on tilllate.com you can choose the location from our database.

Add your own events

Simply click on "add event" and you will then be prompted to add full details on your event. In order to ensure that your event appears on tilllate.com, please include all the information below as accurately as possible.

Please use the help text and this presentation to guide you.

Event Form - important points to remember

Event name CAUTION: Do not write everything in CAPITAL letters and do not ad signs such as "!" to higlight an certain event.
Start date Event date can be submitted using the calendar or using the input box.
Location All events must connected to a location. Click 'modify' and choose the specific location.

NOTE: if your venue is not added, please go to "Add your location to the tilllate.com database" of this presentation to see how you add it first, BEFORE adding your event
Minimum Age To avoid ineligible competition entries, the event's minimum age requirement will be posted close to the competition application.
Admission fee The cover charge appears on the detailed page of the event.
Description You can add a good description of your event in the html box by opening the html button
Music styles Please enter music style accurate, so that user can find the event easily.
Flyer Flyer must be in .GIF or .JPG format and must be at least 200 pixels width. It will show up as a pop up on the detailed event page.

Where possible, please upload your event flyer. This is recommended asit will appear above any events without a flyer in all searchs, lists and preview pages on tilllate.com. Also important, most people are drawn to bright colours and graphics. Therefore, if you want them to read more about your event it can help to draw people to your event if you upload a flyer

From the add event page, simply click tick the boxes for the relevant options you require (prize draw, voucher, guest list or photographer). This will expand the page to allow you to enter additional information

Set up guest lists and prize draws for your events

Competition activated Events with competitions or guest list will be shown at the top of the search list and included in the prize draw list. Prize draws are done by tilllate.com with consideration of the minimum age. You will receive an e-mail or text message upfront the event with the list of the winners or guest list. The winners will be informed by text message or e-mail.

We recommend prize draws only for “One-off” events when you know that the demand will be high and tickets will be a valuable prize.
Guestlist activated If you offer a guestlist so that tilllate.com members can add themselves to the list for Q-Jump, Reduced admission or Free admission (please specify below). You choose how big the list is (or unlimited numbers of tilllate.com members), maximum numbers, any restrictions (e.g. only applies before 11pm, dresscode ec.) and the deadline - – when the list closes and you are emailed details. You will receive details of the names on the list, sent to you by email at the designated time. Your event will be given prime position on the Event Calendar.
We recommend guestlists for regular events when you know that there is steady demand and entrance will be facilitated by a list.
Voucher You can upload a voucher to this event. The tilllate.com member can print the voucher and present it at the entrance desk at your event to recieve the service e.g. get in for free. The voucher is an image in either GIF or JPEG format. The voucher should say clearly what you get when you present this voucher. Events with vouchers are marked by a special icon in the event calendar.

Request photo coverage of your events

Request Photographer You can also request to have a tilllate.com photographer cover your event. Simply select this option. Please note that this is a free service. Coverage is reliant on available resources and so cannot be guaranteed.

However, the good news is that – should you want to sway the decision of the photographers – you can offer an inducement. tilllate.com photographers are freelance and are not paid by tilllate.com so a good offer (keep them clean though!) may motivate them to choose your event over others.
IMPORTANT: In order to provide you with a good service and free coverage, tilllate.com expects free entry and queue jump for our photographers in return.

NOTE: ‘Repeating Event’ – Recurrence, if your event is weekly, the please select how many weeks it will run for (max. 9). However, do not do this if you plan to run a Guestlist or Voucher. (pages 14-16)
